Summary:
The Executive Assistant provides high-level administrative support to the executive leadership team.
Through the use of exceptional organizational and multitasking skills, strong attention to detail, and the ability to work independently while handling multiple priorities.
This role requires maintaining confidentiality, professionalism, and a proactive approach in a fast-paced environment with the flexibility to work beyond regular business hours as needed.
Essential Functions:
Schedule and manage the executive's calendar, including meetings, appointments, and travel arrangements.
Act as the point of contact between the executive and internal/external stakeholders, including screening calls, emails, and correspondence.
Plan and organize travel arrangements, including flights, accommodations, transportation, and itineraries.
Prepare materials for meetings, such as agendas, presentations, reports, and follow-up documentation.
Assist with special projects and initiatives as assigned by the executive, ensuring deadlines are met.
Oversee the executive's office operations, including organizing files, supplies, and resources.
Prepare, review, and edit documents, reports, and presentations for the executive.
Coordinate and organize events, conferences, and meetings on behalf of the executive.
Maintain strict confidentiality regarding sensitive information and company matters.
Identify and resolve issues proactively, offering solutions and making decisions as necessary.
Work closely with other team members and departments to support the executive and the organization's goals.
Responsible for completing competency-based workplace safety training as assigned by the agency.

Estimated Salary: $20 to $28 per hour based on qualifications.
