This position is critical to the overall success of our clinical practice.
The responsibilities are wide ranging and can vary day to day, but the number one duty of an office manager is to create and maintain a pleasant, welcoming, and positive environment for our treatment team and patients by maintaining high levels of organizational effectiveness, expert communication, and adherence to safety policies and procedures.
Office Manager duties and responsibilities include scheduling meetings and appointments, ordering office/clinical supplies, greeting visitors, managing relationships with insurance companies and providers, communicating with patients about their accounts, and providing general administrative support to our team.
Ultimately, the office manager ensures the smooth running of the office, helps implement and improve company procedures, and enhances the efficiency of day-to-day operations.
Responsibilities:
Greet patients arriving for treatment.
Schedule patient appointments with Physical Therapists and Physical Therapist Assistants Distribute and/or collect patient medical history paperwork, insurance information, provider referrals, etc.
Create patient profiles and perform insurance benefit checks to determine information regarding deductible, copay, coinsurance, out of pocket maximums, visit limits, referral requirements, prior authorization requirements and precertification requirements.
Collect payment from patients at check in time.
Check for ending and expired referrals.
Run lost patient report weekly and reach out to patients who have expiring referrals.
Run Missing Notes report and distribute to staff to ensure providers are keeping up with paperwork.
Maintain and balance office checking account after each purchase.
Reconcile all checking account credits and debits with monthly account statement.
Call patients with outstanding balance every 30 days to request payment.
Onboard new employees and collect all required information and paperwork.
Collect vacation request forms and maintain PTO calendar.
Supervise office assistants and rehabilitation technicians.
Requirements:
Experience with office software (EMR, Mac/PC, Gmail, spreadsheets, and databases).
Experience managing a medical office preferred.
Ability to accurately handle administrative duties.
Excellent listening, verbal, and written communication skills.
A passion for providing excellent customer service.
Highly organized, resourceful, and a quick learner.
Reliable, punctual, and conscientious with excellent attention to detail.
